Coldwell Banker Real Estate Group is currently seeking support in our property management division, servicing the Fox Cities. This Assistant Property Manager position would work as a liaison between our landlords, tenants, tenant prospects and maintenance division to provide outstanding customer service through; handling incoming property needs timely, outlining a clear plan, executing steps in a timely manner and providing exceptional follow-up. We are looking for a personable, organized, hard-working, experienced individual that thrives on interacting with people in a fast-paced work environment. In many cases the Assistant Property Manager will be the first point of contact, professionalism and kindness are top priority for setting a great first impression.

SUMMARY

The Assistant Property Manager performs administrative and organizational duties such as working with residents, collecting rent, performing bookkeeping, organizing property viewings, and working alongside the maintenance department. They have outstanding business management and distinguished conflict resolution skills. They effectively communicate with all parties involved on a property while providing exceptional customer service. Excellent training and department support will be provided ensuring a successful onboarding and confidence in your role and abilities to achieve your department goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • General Duties Include:

    • Screen prospective tenants

    • Prepare & schedule property viewings

    • Conduct Property Tours

    • Process applications, conduct credit checks, & negotiate contracts

    • Inspect property condition & coordinate maintenance activities

    • Address and resolve resident questions, concerns, and complaints in a timely manner

    • Manage budgets, accounts, rent collections, and tenant notices

    • Maintain organized and updated files & records

    • Perform data entry into necessary systems

    • Generate reports for the property management department

    • Report any problems or issues to Property Manager

  • QUALIFICATIONS

Person should possess the following:
  • Excellent communications skills

  • Ability to work well under pressure balancing multiple priorities and assignments to meet deadlines

  • Consistent with follow up and follow through

  • Proficient with technology (Microsoft Office and Google products)

  • Ability to proactively handle and resolve incoming needs and requests

  • Adaptable to various personalities/situations

  • Takes initiative

EDUCATION and/or EXPERIENCE
  • Property management experience preferred

  • Active real estate license is preferred but not required

LANGUAGE SKILLS

  • Ability to read and understand documents and to communicate with agents and other staff members in a courteous and professional manner

  • Bilingual is desirable

MATHEMATICAL SKILLS

  • Basic Accounting knowledge helpful in processing rent payments, balances, deposits and the monthly billing statements

REASONING ABILITY

  • Ability to define the problem, establish facts and draw a valid conclusion to solve the problem and plan initiatives

CERTIFICATES, LICENSES, REGISTRATIONS

  • A background in real estate is helpful, Coldwell Banker Real Estate Group will support you by providing real estate licensure.

PHYSICAL DEMANDS
  • Mobility to work in a standard office setting using standard office equipment including:

    • Stamina to maintain attention to detail despite interruptions

    • Strength to lift and carry files weighing up to 3 pounds

    • Vision to read printed materials and a computer screen

    • Hearing and speech to communicate in person and over the telephone

WORK ENVIRONMENT

  • Frequently subject to interruptions in a moderate noise level office setting

  • Some travel is required to the rental units for inspection and pre-lease purposes

HOURS

  • Office Hours: Monday - Friday 8 am - 4 pm

  • This is a salaried position and occasional night and weekend hours may be required
