Job Summary:

 

The Mail & Fulfillment Supervisor is responsible for the mail jobs for each individual company and for the operations of the production area. The Supervisor provides oversight for the workflow with the Mail & Fulfillment Coordinator to ensure the processing, packaging, and distribution of mail orders. This role ensures that all outgoing shipments meet quality standards and delivery deadlines while maintaining a clean and organized workspace.

 

Key Responsibilities :

 

Order Processing & Fulfillment

 

· Ensures the Mail & Fulfillment Center has proper supplies for each order and is set for the programs for each day

· Accurately pick, pack, and prepare mail orders for shipment.

· Verify order details, ensuring proper labeling and postage application.

· Operate mailing and sorting equipment to streamline order fulfillment.

· Supervises the work of the participants working in the mail room.

· Conducts audits on each order to ensure quality standards.

· Ensures the Mail & Fulfillment Center is prepped for cleaning every evening.

 

 

Shipping & Logistics

 

· Coordinate with shipping carriers (USPS, UPS, FedEx, etc.) for timely pickups.

· Track and document shipments to ensure on-time delivery.

· Handle returns and exchanges in compliance with company policies.

 

 

Inventory Management

 

· Maintain accurate inventory records of packaging materials and mailing supplies.

· Restock and organize supplies to ensure smooth daily operations.

· Assist in periodic inventory audits to minimize discrepancies.

 

 

Quality & Compliance

 

· Inspect outgoing mail for accuracy, proper packaging, and damage prevention.

· Ensure all shipments meet postal regulations and organizational quality standards.

· Follow safety procedures and maintain a clean, hazard-free workspace.

 

 

Customer Service & Communications

 

· Respond to internal inquiries regarding order statuses and shipping issues.

· Assist in resolving order discrepancies and customer concerns.

· Provide feedback on fulfillment processes to enhance efficiency.

 

 

Qualifications & Skills

· Ability to operate basic mailing and shipping equipment.

· Strong attention to detail and organizational skills.

· Strong troubleshooting and problem-solving skills

· Excellent communication and interpersonal skills.

· Ability to manage multiple projects and prioritize tasks effectively.

 

Education & Experience

· High school diploma (or equivalent required).

· Experience in mail fulfillment, shipping, or warehouse operations preferred.

 

Physical Requirements

· Alternating periods of sitting, standing, and walking for 8-hour shifts.

· Must be able to lift t0 50 pounds.

Since 1992 Harbor House of Louisville has provided day services to adults with intellectual disabilities, giving them opportunities to build social, emotional, and cognitive skills through participation in employment, performing arts, health and wellness, and visual arts.

Now Harbor House is expanding to bring these same outstanding day services to children and seniors of all abilities—meaning with and without disabilities—on an intergenerational model where all three groups will engage daily in meaningful opportunities aimed at improving their lives. What does that mean? It means that children, adults, and seniors of all abilities will read, sing, dance, paint, draw, and even exercise together.

We moved into our new 36,000-square-foot Intergenerational Life Center in October 2023, and are now weaving children and seniors into our family, beginning with before- and after-school programs and seniors in 2024, and 105 children of all abilities, ages 6 weeks to 5 years, when our previous 8,000-square-foot building is renovated into a Child Enrichment Center by spring 2025.
