Office Assistant provides support to a company's employees, supervises the staff, and helps manage the office. The office assistant acts as a link connecting departments, vendors, and staff members. Looking for someone with a big personality who enjoys working with others to support a growing office

Responsibilities:

  • Implementing administrative systems, procedures, and policies; monitoring administrative projects; maintaining suggestion program
  • Maintains daily administrative work flow for the office; implementing cost reductions; developing reporting procedures.
  • Creates and revises systems and procedures by analyzing operating practices;
  • Resolves administrative problems by analyzing information; identifying and implementing communication solutions.
  • Processes all inbound calls; utilization of a multi-line PBX phone system
  • Maintains rapport with customers, managers, and employees setting priorities; resolving problem situations.
  • Order and manage supplies for the office
  • Support 6 upper level managers
  • Tracks and monitors all vacation time off request
  • Provides basic information to customers by answering questions and requests.
  • Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
  • Guides employee actions by researching, developing, writing, and updating administrative policies, procedures, methods, and guidelines; communicating developments to management.
  • Completes administrative projects by identifying and implementing new technology and resources; redesigning systems; recommending re-deployment of designated resources.
  • Accomplishes department and organization mission by completing related results as needed.
